What information do we collect from you?
As part of our recruitment process, we may collect the following information about you as an individual: full name, date of birth, telephone number, email address, home address, prefix and pronoun, preferred name, citizenship and ‘right to work’ status, country of residence, spoken languages, work and educational experience, military status/history, work history with Veolia (including employee number) - where applicable, a copy of your curriculum vitae (CV), links to your social network profile/s, requested reasonable adjustments.
In addition to the information detailed above, Veolia may collect diversity data (as listed below) to identify and keep under review the existence or absence of equality or opportunity or treatment between groups of people specified in the below categories, with a view to enabling such equality to be promoted or maintained. Age, disability, gender reassignment, marriage and civil partnership, pregnancy and maternity, race, religion or belief, sex or sexual orientation and complies with all applicable laws pertaining to nondiscrimination and equal opportunity.
Why do we collect this information?
We rely on legitimate interest as the lawful basis on which we collect and use your personal data. Our legitimate interest is the recruitment of staff for our business. Where we collect diversity or special category data, we rely on the UK GDPR Article 9(g), in accordance with the conditions set out in the Data Protection Act 2018, Schedule 1, Part 2 - Substantial public interest. Who might we share your information with?
The software we use for recruitment is called ‘Workday’. This means that your personal data is processed by Workday Limited (the ‘data processor’) on behalf of Veolia UK & Ireland, following the instructions Veolia sets out and with appropriate technical and organisational measures in place to protect your data.
We may also share your information with a recruitment agency, where necessary.
Veolia UK & Ireland will never disclose your personal data to any other third party without implementing appropriate safeguards. Your data will remain within the European Economic Area (EEA) or within a country that is considered adequate under EU law.
What do we do with your information?
Your personal data shall be processed confidentially and securely for recruitment purposes. We will use your personal data to;
- move your application forward,
- check that you’re the right candidate for the role,
- get in contact with you,
- send you notifications for vacancy roles or job alerts.
How long do we keep hold of your information?
We will keep this information for a maximum period of two years from the date of collection.
How can I access the information you hold about me?

UK Appropriate Policy Document
This Appropriate Policy Document (APD) outlines Veolia’s processing of special category personal data and its policies with regard to the retention and erasure of special category personal data, processed in reliance on specific conditions. It satisfies the requirement of the Data Protection Act 2018 (DPA 18), Schedule 1, Part 4 for a Data Controller (Veolia) to have in place an ‘appropriate policy document’. This document should be read in conjunction with Veolia’s Data Protection Policy.
This Policy covers the processing of special category data carried out by Veolia which is subject to UK General Data Protection Regulation (UK GDPR) Article 9, and in reliance of the conditions set out in the Data Protection Act 2018, Schedule 1, Part 2 - Substantial public interest condition
Description of the personal data processed under this APD
Information relating to candidates and prospective employees in the following categories: Ethnicity/racial origin, Gender identity, Sexual orientation, Religious beliefs
Purpose
The purpose of this processing is to identify and keep under review the existence or absence of equality or opportunity or treatment between groups of people specified in the above categories, with a view to enabling such equality to be promoted or maintained.

Veolia takes responsibility for complying with data protection legislation, at the highest management level and throughout our organisation. We put in place appropriate technical and organisational measures, such as:

Lawfulness, fairness & transparency |
The lawful basis for the processing of personal information for diversity and inclusion reporting, is that the processing is necessary for the purposes of Veolia’s legitimate interests (UK GDPR, Article 6.1(f)). The information under processing is special category information and Veolia UK & Ireland relies on substantial public interest (UK GDPR, Article 9.2(g)) as the basis for this processing, in line with Schedule 1, part 2, paragraph 8 of the UK Data Protection Act 2018 (Equality of opportunity or treatment). The information processed will be solely for statistical purposes. Special category information relating to a group of people fewer than ten in number will not be made available. Absolutely no information collected during this processing will be used to measure or make decisions in relation to an individual employee. Hiring managers and recruitment staff will not have access to diversity information. Provision of the special category information will be a voluntary choice for candidates and will never be a mandatory requirement. This APD will be made available to all data subjects and supplements Veolia’s Privacy Notices. |
Purpose limitation |
The purpose listed earlier in this document is the only purpose for which Veolia will process the categories of candidate information. Any further processing is forbidden. |
Data minimisation |
Veolia will only collect the information required to effectively be able to report on diversity and inclusion. Wherever possible, the information collected will be formed of drop down options which reduces the risk of excessive data collection. |
Accuracy |
It is the responsibility of each individual candidate to ensure that their information is accurate. Veolia will only be using the supplied information for statistical reporting purposes. At no point will Veolia attempt to validate the accuracy of any individual candidate’s information. |
Storage limitation |
Veolia will retain diversity and inclusion information for a period of 5 years. This period of time is considered appropriate in order to identify trends. Changes may be small and take a number of years to become apparent. Veolia believes that a shorter period would not provide adequate evidence of the impact of strategic diversity and inclusion campaigns. |
Integrity & confidentiality (security) |
Candidates will be solely responsible for populating the fields in the Workday system. Appropriate technical and organisational measures have been contractually agreed with Workday. A review has been performed by Veolia to ensure that the absolute minimum number of people will have the ability to view this information within the Workday system. |
